Xplan Customization Options

For Financial Planners the Xplan system is a powerful tool helping advisers reduce their administration stress and allow them to run their businesses more efficiently. Time involved in administering an effective XPLAN system and maintaining useful and up to date templates can overlap with your client contact time.  Don’t let administration frustration control your business. In order to carry on the business smoothly it is imperative that the best tool and strategy is implemented which will make the work run efficiently.

There is one common agreement though, and that is that ‘you don’t know what you don’t know’ and the incorporation of Xplan into your business is only as good as your staffs’ Xplan knowledge. As a Financial Planning practice, your common goal is to spend time on the area that matters most, your clients, and not waste time on the areas you are not skilled in. Just like we might outsource to an Accountant, IT Specialist or Lawyer, outsourcing your Xplan Site Administration and Customization to a specialist team can resolve daily issues that may be taking up your time unnecessarily.

Sending emails to clients out of Xplan will automatically create a Note against the client record. However, if you do not use Xplan to send outgoing emails and use other systems e.g. Gmail, Thunderbird or other web-based email systems. You can simply CC the client’s Xplan email address to ensure it is added into the Xplan Document Library. To save time, add the Xplan email address into your email contact/address book with the client’s standard email address - this will save you time ensuring you don’t need to look-up the client’s entity id every time you wish to forward or send an email to Xplan.


Quicklinks can be customized for every user, depending on exactly what functions of Xplan you regularly accessibility. For example, if you find you spend a large amount of time in Tasks, then you want to ensure Tasks is one of your short-cuts. Quick links are accessed from the Dashboard, and take you directly to the area that you select e.g. Tasks. Your default Quicklinks will depend on what version of Xplan you are running. Please note that these Quicklinks are dependent on your licenses and capabilities. For example, if you do not have the license and capability to view portfolio data, your default list of Quicklinks will not include Security Positions.

If you have never looked at your Preferences menu, this is located above the Search box on the right side. It allows you to tailor areas like Diary, Tasks, Email Signature and Document Notes to suit your business practices. We recommend that you take a look at the settings available to you as one of these settings may just help you use Xplan more effectively. The Preference menu options you see will depend on the capabilities allowed by your Site Administrator. The Preference menu in Xplan allows you to tailor your user account and can make your daily use of Xplan more efficient.


As not every Xplan site is the same, the field to change a Client Entity Status is not always located in the same area. The most common areas to look for the Entity Status field are pages such as Personal Details, Marketing Details and Client Details. If you cannot locate this area on your Xplan site, speak to your Xplan Site Administrator or Xplan Account Executive. This field may even be hidden on your site and your Site Administrator will need to add this. Changing your clients Entity Status on Xplan is a simple way to begin cleansing your client data.

XPLAN Tips - Creating Client Group

xplanOnce you have created all of the additional related entities in Xplan, users want to be able to find and view all of these entities in a simple and quick manner. Xplan have created a great feature called Client Groups. Client Groups allow you to link to all associated entities to each other, which you can view as a Relationship Tree. The Relationship Tree also determines which entities your clients can see when they use Xplan Client Online Access. The Client Relationship Tree shows the entities they have direct relationships with. The Relationship Tree however doesn’t determine reporting or analysis for groups; this is determined by Client Groups.

All users would find it helpful to show the Widget for all tasks assigned to them – assuming you use Tasks as part of your workflow management. This means once you log in, all of your tasks could be displayed on your dashboard for easy reference and access. Likewise, managers or advisors who are frequently assigning tasks to other team members, may also like to display a record of tasks they have assigned to others, so they can easily monitor them. Creating widgets is one of the best Xplan tips and is also very useful for the users.
 
The Recent Clients Widget can also be of benefit, as a lot of users find that once they are entering or editing data for a client, they are returning to that client several times over the coming days and weeks; this provides a useful shortcut. For those monitoring or managing System Data feeds, you may also find it helpful to have that snap shot each day of how many accounts are unmapped, or how many are out of balance. These are just a few of the fantastic Widget options that are available. Therefore it is quite useful to opt for the best Xplan tips and create widgets.
